Getting started

What the platform is and how a school comes on board.

What is FlightSchool Toolbox?
It’s an all-in-one platform for flight schools that combines three tools behind a single account and subscription: a digital pilot Logbook, FAA knowledge-test Test Prep with endorsement tracking, and School Stats for admin records, pass rates, and Part 141 reporting. Your whole school — instructors and students — works in one place instead of juggling separate apps.
How do I sign up my school?
From the Create your school page, enter your school name and pick a subdomain (for example yourschool.flightschooltoolbox.com). You’ll confirm your email, and your school workspace is created automatically with you as the Owner. New schools start on the free plan so you can look around before adding students.
Where do my instructors and students log in?
Everyone in your school signs in at your school’s own web address — yourschool.flightschooltoolbox.com/login. The Owner or an Admin adds each person by email from the Users page; they receive an invitation to set a password and join.
Can students sign up for their own account?
No — and this is deliberate. Every account on FlightSchool Toolbox is created by the flight school: students, instructors, and admins are all added by the school’s Owner or an Administrator from the Users page. There is no public sign-up on a school’s address, so nobody outside your school can create an account on it or take up one of your seats. If you need an account, contact your flight school directly and they’ll set one up for you.
Do students and instructors need separate accounts for each tool?
No. Every account has access to both the Logbook and Test Prep — there’s no mixing or separate sign-ups. One person, one login, all the tools their role allows.

Accounts, roles & seats

Who can do what, and how your plan’s seats work.

What are the roles?
There are four roles:
  • Owner — the person who signed the school up; full control, including billing.
  • Admin — manages users and school settings, and sees School Stats.
  • Instructor — reviews any student’s logbook and test records, and administers Test Prep.
  • Student — keeps their own logbook and takes practice and endorsement exams.
Who counts toward my seat limit?
Only students count toward your plan’s seat count. Owners, admins, and instructors don’t use a student seat, so you can add the staff your school needs without it eating into the plan you bought for students.
How do I add, change, or remove a user?
An Owner or Admin manages everyone from the Users page — add someone by email, change their role, or remove them. When you remove a student, their records are preserved and can be exported first. If you need a change and you’re not an admin, contact your school’s administrator.
Who can see the School Stats module?
School Stats is limited to Owners and Admins. Instructors and students don’t see it. It holds the school’s roster, pass-rate analytics, and FAA Part 141 reporting.

Logbook

The IACRA-aligned digital pilot logbook.

What can the Logbook do?
Log flights with full detail, track totals and currency, break time out by aircraft category (retractable, TAA, multi-engine, tailwheel, turbine, and more), record and manage endorsements, and generate reports and printable summaries — including an insurance-ready experience snapshot.
Can I bring in flights from another logbook app?
Yes. Use the Import/Export page in the Logbook tab to import flights, and to export your logbook back out as a file whenever you like. Your data is always yours to download.
Can instructors see their students’ logbooks?
Yes. Any staff member (Owner, Admin, or Instructor) can view any student’s logbook from the Student Logs page, so you can review progress school-wide.

Test Prep

FAA knowledge-test practice and endorsements.

How do practice and endorsement exams work?
Students take practice exams (default 100 questions, drawn from the FAA-aligned question bank) to study, and endorsement exams to demonstrate readiness. Passing three endorsement exams at 80% or better in a course marks the student as endorsement-eligible, which their instructor can see and print as a CFI endorsement report.
Is there a calculator during exams?
Yes — students get a built-in calculator with a standard four-function mode and an E6B flight computer (time/speed/distance, fuel, wind correction, and density-altitude/true-airspeed), so there’s no need for a separate device.
Can I resume an exam I didn’t finish?
Yes. Unfinished exams are saved as drafts and show a Resume option on your Test Prep dashboard. You can also delete a draft you don’t want to continue.
A question looks wrong — what do I do?
Use the “Report question” flag while reviewing. Your school’s staff can see flagged questions, and the platform team reviews them against the canonical question bank.

School Stats

Records, pass rates, and Part 141 reporting (admins only).

What is School Stats for?
It helps the school track student records, enrollments, and milestones; measure pass rates and completion; and produce FAA Part 141 reports. The roster here is made of school records, which are separate from login accounts, so you can track every student your school reports on.
Can I import my existing roster?
Yes. School Stats imports rosters from CSV and Excel (XLSX) with a preview-then-commit step, and matches existing records so re-imports don’t create duplicates. You can also export the roster back out as CSV.

Plans & billing

Free tier, upgrading, and cancellation.

What does it cost to start?
New schools start on a free plan that includes one student, so you can explore every tool at no cost. When you’re ready to add more students, the Owner upgrades to a larger plan.
What plans are available?
Plans are sized by the number of student seats — currently 10, 25, and 50 students — with instructors and admins included on top. If you need a size that isn’t listed, get in touch and we’ll help.
How do I upgrade or manage billing?
Only the Owner manages the plan, from the Billing page under School Settings. You’ll be prompted to upgrade there when you reach your student limit.
What happens if we cancel?
Your data is never deleted. After a cancellation there’s a grace period during which the Owner can still export all records; re-subscribing at any time restores full access.

Login & account help

Signing in, passwords, and access issues.

How do I get an account?
Your flight school creates it for you. All accounts — student, instructor, and admin alike — are set up by the school’s Owner or an Administrator, so contact your flight school directly to be added. Depending on how they set you up, you’ll either receive a temporary password (you’ll be asked to choose your own the first time you sign in) or an invitation link to pick a password up front. You can’t create an account yourself, and there’s no individual or personal plan: FlightSchool Toolbox is sold to flight schools, and every account belongs to one.
I can’t sign in — what should I check?
Make sure you’re signing in at your school’s address (yourschool.flightschooltoolbox.com/login), not the main site. If you were just invited, confirm your email first. Still stuck? Contact your school administrator, who can check your account and re-send an invite.
How do I reset my password?
Use the Forgot password link on the sign-in page and follow the emailed instructions.
Is my school’s data private?
Yes. Each school’s data is isolated to that school — no other school can see your students, logbooks, or records. You can export your data at any time.
